HubSpot
Connect VisiSign to HubSpot to send contracts and documents for signature directly from your deals. Signing status updates appear in real-time on the deal, and completed signed PDFs are automatically attached.
Installation
Section titled “Installation”- Go to Settings > Integrations in your VisiSign account
- Click Connect HubSpot
- Authorize VisiSign to access your HubSpot account
- Your HubSpot portal will be linked to your VisiSign organization automatically
Sending a document from a deal
Section titled “Sending a document from a deal”The VisiSign app card appears in the sidebar of every deal in HubSpot. From there you can send documents in three ways:
Using a template
Section titled “Using a template”- Open any deal in HubSpot
- Find the VisiSign card in the right sidebar
- Click Send for Signature
- Select a template from your VisiSign account
- Review the signer details — they’re pre-filled from the deal’s associated contacts
- Add an optional message
- Click Send for Signature
Using a PDF URL
Section titled “Using a PDF URL”- Click Send for Signature from the deal sidebar
- Switch to the PDF URL tab
- Paste a link to a PDF (Google Drive, Dropbox, or any public URL)
- Add signers and an optional message
- Click Send for Signature
Quick agreement
Section titled “Quick agreement”- Click Send for Signature from the deal sidebar
- Switch to the Quick Agreement tab
- Type your agreement text — signature fields are added automatically for each signer
- Add signers and an optional message
- Click Send for Signature
The signers will receive an email with a link to sign the document.
Tracking signing status
Section titled “Tracking signing status”The VisiSign card on each deal shows the current status of all signature requests linked to that deal:
- Sent — the document has been sent and is awaiting signatures
- Completed — all parties have signed
- Declined — a signer declined to sign
Each signer’s individual status is shown (pending, viewed, signed, or declined).
You can click Remind next to any pending signer to send them a reminder email.
Timeline events are automatically added to the deal for every signing event:
- Contract sent
- Document viewed
- Signer signed
- All parties signed
- Signer declined
Signed PDF attachment
Section titled “Signed PDF attachment”When all parties have signed, the completed signed PDF is automatically uploaded to HubSpot’s file manager and attached to the deal as a note.
Deal properties
Section titled “Deal properties”VisiSign updates the following custom deal properties as signatures progress:
- visisign_status — current signing status (sent, viewed, signed, completed, declined)
- visisign_request_id — the VisiSign document ID
- visisign_completed_at — timestamp when all parties signed
Templates
Section titled “Templates”To send documents using templates, you first need to create one in VisiSign:
- Go to Templates in VisiSign
- Upload a PDF document
- Drag signature, text, date, email, phone, or other fields onto the document
- Assign fields to signer roles (e.g., “Client”, “Manager”)
- Save the template
When sending from HubSpot, you’ll select the template and assign your deal contacts to each role.
Disconnecting
Section titled “Disconnecting”To disconnect VisiSign from HubSpot:
- Go to Settings > Integrations in VisiSign
- Find the HubSpot card — it shows your portal ID and connection status
- The connection can be managed from there
Requirements
Section titled “Requirements”- A VisiSign account on the Team plan (required for templates)
- A HubSpot account on any plan
